A global nonprofit is seeking a Program Assistant to join their thriving team.  

  •    Overall management responsibility for the calendar and schedule for the Director, Office of Essential Medicines (OEM), including prioritization, follow-up, and dissemination of information.
  •   Plan and manage domestic and international travel for the Director and Vice President as requested by working with the travel agent, internal travel management teams, and tracks team members' travel schedules, including support needed modifying arrangements during travel and follow up activities such as reimbursement requests.
  • Complete submission of travel expenses following trip completion for Director and Vice President, OEM and Center for Vaccine Innovation and Access
  • Support Executive Assistant In production of travel documents and gathering of agendas and relevant materials for Vice President and Director.
  • Liaise with Essential Medicines and CVIA staff in DC and Geneva offices
  • Develop strong working relationships with peers in funding and partner organizations.
  •   Assist team members with support in using various software programs.
  •   Liaise with Information technology department to resolve hardware and software problems.
  • Partner with other Program Assistants to manage SharePoint sites and Box document repositories for Essential Medicines and CVIA.
  •  Understand and implement the business processes for site and document maintenance.
  • Handle confidential and sensitive information. 
  •   Supports Executive Assistant when needed.
  •  A minimum of an Associate’s Degree plus four years of directly related administrative experience or a Bachelor's degree plus a minimum of two years of directly related administrative experience required.
  • Excellent computer skills using MS Office Suite required; proficiency in creating and editing documents in Word and PowerPoint, creating and maintaining SharePoint sites, Box (or similar) repositories and knowledge of web/teleconferencing software (Skype for Business, Ready Talk); additional software experience highly preferred.
  • Excellent demonstrated experience managing a complex and frequently changing schedule and setting priorities.
  • Proven agility in adjusting to changing schedules.
  • Knowledge of cross-cultural communication issues and demonstrated ability to work effectively in diverse teams.
