Job Summary:
The Temporary Human Resources (HR) Generalist will assist in all functional areas of Human Resource daily operations. This role is for someone who likes to take on new challenges, enjoys project work to improve HR daily procedures and loves working with people at all levels. This position will provide a great opportunity to learn and complete tasks of various HR functions in a medical device business and experience hands-on HR generalist tasks through working with a lean North America HR team located at San Jose office and Mahwah office for supporting approximately 500 employees in the United States and Canada.
Position Specifications:
1.        Knowledge/Educational Requirements
·        bachelor’s degree in Human Resources, relevant business or management studies
·        Sound knowledge of Federal and California States employment laws and trend
·        PHR or SPHR is an advantage
2.        Skills and Abilities
·        At least 3 years of solid HR or/and medical device working experience in California.
·        Intermediate Microsoft Office skills (e.g. Excel, Outlook, PowerPoint, etc.) are essential
·        Experience with ADP Workforce Now is a plus.
·        Strong attention to details and ability to perform accurate data entry
·        Excellent communication and organizational skills
·        Ability to handle confidential and sensitive information appropriately
·        Flexible to adapt to changing operational needs & priorities
·        Must be able to work multi-tasks in a fast-paced environment
·        Professional in appearance, action, and behaviors
3.        Physical Demands/Work Environment
·        Work is generally sedentary in nature but may require standing and walk for up to 20% of the time.
·        There are no hazardous or unpleasant conditions caused by noise, dust, etc.
·        Work is generally performed within an office environment, with standard office equipment available.
Essential Functions:                                                                                
Staffing – Sales, Clinical (U.S. & Canada Ultrasound team), Engineering and Supporting Positions
·        Support the Organization’s recruitment process, including a full recruitment cycle but not limited to posting jobs on job boards, screening resumes, conducting initial phone screenings for Agency Temps, coordinating interviews, preparing, editing, and proofreading offer letters, and tracking recruiting data and activities.
·        Prepare and update onboarding and off-boarding checklists, recruitment process and monthly organization charts.
Training Record & HR Compliance – all US and Canada Ultrasound staff
·        Track and update online training completion status to new hires, maintain employee’s training records
·        Maintain the Company’s Job Description record and follow through with position’s reporting managers and Mahwah HR team to update job descriptions, as necessary.
·        Prepare and maintain employee files, assuring accuracy, compliance and confidentially, such as unemployment claims, verifications, I9 status, and State regulations.
·        Follow through the closure of all remaining legacy payroll tax account or correct wrong company’s mailing address in various states.
Employee Relations – Innovation Center employees
·        Collaborate with HRM to assist in Health and Safety compliance of the Innovation Center workforce (e.g. disability claims, workstations assessment, worker’s compensation claims filing and reporting, etc.)
·        Provide support to organize company-wide staff events with the focus on building team-centric work environment in San Jose office
Human Resources Projects
·        Assist HR team in San Jose office to implement ad-hoc HR projects and tasks as assigned such as open enrollment data entry verification, annual performance reviews tracking, scanning and filing, preparation of business visa invitation letter, coordination of documents for work visa petition, etc.
