SUMMARY:
 
Directly supports the General Manager and provides support to local leadership team as needed. Responsible for performing a number of administrative and project management activities, while prioritizing tasks for the best interest of the business.
 
This individual needs to handle a wide variety of business activities and confidential matters with utmost discretion. This position requires the ability to work independently with minimum supervision and possess the highest degree of professionalism and interpersonal effectiveness.
 
ESSENTIAL FUNCTIONS and DUTIES:
  1. Completes a broad variety of administrative tasks for Leadership Team including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, and agendas.
  2. Consults with leadership as needed to solicit information, provide critical updates and to coordinate information and priorities. Exercises tact, diplomacy and discretion in written and verbal communications.
  3. Organize and manage all department and leadership meetings with the ability to take detailed notes and minutes for organizational documentation.
  4. Provides communication between Leadership and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  5. Contribute to document review and production on behalf of the General Manager.
  6. Maintain projects plans as needed and ensure all projects are organized and easily accessed as needed by the General Manager.
  7. Review, analyze, and prioritize project tasks and reports to determine their significance and plan their distribution to appropriate leaders.
  8. Maintain an organized system of documents, electronic method preferred.
  9. Must be able to work independently with minimal supervision.
  10. Performs other related duties as assigned for the executive team.
  11. Provide support in all other special initiatives, as needed.
  12. Guides the work of other Administrative Assistants and/or employees when engaged in directly related support activities.
  13. Participate in safety training and comply with safety policies and practices.
  14. Improve and maintain 5S in your work area; make suggestions for improvements.
  15. Collaborate in team meetings and activities, including SET Team support as appropriate.
  16. Perform miscellaneous related duties as assigned.
 
DISTINGUISHING CHARACTERISTICS:
 
  1. Facilitates the weekly administrative assistant meetings.
  2. Coordinates the company’s Quarterly Communications Meeting (QCM) including preparing and/or creating presentations, scheduling speakers and assisting with meal and beverage setup;
  3. Requires a comprehensive knowledge of the organization and involves intensive participation in the work of the manager;
  4. Position requires knowledge of the company’s policies and general operating procedures, business and management principles, practices related to resource allocation, production methods, leadership techniques, and coordination of people and resources.
 
MINIMUM JOB QUALIFICATIONS: (The following qualifications can be acquired and demonstrated through experience, education and/or vocational training as noted or as appropriate.)
 
  1. Five (5) years of working with leadership teams; knowledge of standard administrative procedures; High School or GED, required; Associate’s degree or technical school strongly preferred.
