The Sr. Sales Operations Coordinator is responsible for booking customer orders and service cases, while addressing all related issues arising from such orders or cases.  They will also aid sales consultants and closely interact with the service, marketing, and finance departments to ensure orders are timely processed.

  • Process and book sales orders, reviewing them for accuracy and documentation which includes system configurations, customer purchase orders, prices and terms of the sale.
  • Review and manage daily service cases providing resolution for customers who are down due to equipment issues.
  • Process service contracts for accuracy and completeness entering them into the system.
  • Interface with sales representatives, supply chain and other departments to resolve internal problems and to expedite orders and maintain order schedules.
  • Sign off on orders for accuracy and completeness as entered into SAP.
  • Work on various weekly order reports for management review.
  • Review and makes sure all RMA's are processed accurately and timely.
  • Process consignment requests, purchase orders, and sales orders for major customer, while maintaining all activity on the associated spreadsheet report.
  • Maintain and update changes to price pages and descriptions.
  • Effectively utilize SAP and improve overall processes.
  • Become familiar with multiple ultrasound platforms and products.
  • Work with finance for credit issues related to all orders.
  • Perform other related duties as assigned by the Sales Operations and Revenue Manager.
  • Minimum 5-7 years’ experience in an order administration capacity.
  • College degree or equivalent practical experience preferred.
  • Able to manage a high volume of work and deliver on commitments in a fast-paced environment.
  • Experience with SAP and Salesforce or other CRM platforms highly desired.
  • Must be very organized with the ability to effectively multi-task.
  • Must be detailed, thorough, consistent and good at following up with both customers and internal management.
  • Excellent phone skills and ability to work well with people is a must.
  • Superior interpersonal and communication skills; written and verbal are essential.
  • Customer focused; relationship driven individual with a sense of urgency.
  • Proficient in Microsoft Office including Outlook, Word, Excel and PowerPoint.
  • Strong negotiation and presentation skills are a plus.
  • Position will require standard business hours with some overtime during monthly and quarter end periods
