Our client is a premier provider of complex design and engineering services to the aerospace and defense industry. Additionally, they provide program management support to many of their clients' R&D departments and are actively engaged in the development of several next generation platforms.

Job Responsibilities
  • Maintains President’s schedule by coordinating meetings, maintaining their calendar and monitoring emails.
  • Plan and coordinate on-site and off-site meetings as needed
  • Distribute and process mail for location as requested
  • Assist visitors at site location ensuring badging and security measures are followed
Human Resources:
  • Updates Workday and employee files as directed by HR Manager. Tasking to include password resets, recruiting, rate increases, leaves of absences, performance reviews and terminations.
  • Helps to maintain employee personnel files and other HR documents
  • Assists with new hire orientation and onboarding processes, including verifying citizenship per I9 and E-Verify requirements
  • As needed, initiates employee terminations by receiving and processing appropriate documents, updating internal systems and contacting personnel
  • Receives and completes employment verification requests and service letters as needed.
  • Assists with HR initiatives, policies and events
  • Process inbox transactions from Human Resources Information System (HRIS) data entry
  • Upload payroll file
  • Run payrolls for hourly employees
  • Prepare, process, and verify bi-weekly payroll
  • Record missed deductions and coordinate payment(s) with employee
  • Prepare and process bonus payments
  • Reconcile PTO requests and balances in Workday and TSheets
  • Process Accounts payable manual checks as needed
  • Process and monitor garnishments
  • Verify accuracy of payroll schedules for bi-weekly payroll
  • Prepare monthly payroll accruals
  • Generate ad hoc and standard reports and queries for internal and external use
  • Process final checks for terminating employees as requested
Accounts Payable:
  • Assist with processing invoices received in an accurate and timely manner
  • Track pertinent invoice data and provide to Accounting manager
  • Obtain approval from appropriate personnel to process non-PO invoices
  • Assign appropriate account coding
  • Determine sales or use tax liability
  • File entered invoices daily/weekly
  • Review invoices for compliance
  • Effectively communicate with purchasing and/or personnel and vendors to resolve billing issues
  • Review, research and analyze unmatched receipts as needed
  • Participate in improvement processes internal and external to the department
  • Other duties may include analysis, W-9 & 1099 processing, special projects and other requests as assigned by management
 Concur Travel Administrator:
  • Assist employees with Concur accounts
  • Troubleshoot employee questions and concerns
  • Review and assist employees processing expense reports
  • Run monthly accrual reports for auditing purposes as needed
Qualifications and Experience:
  • Minimum 2 – 4 years Accounting degree or relevant experience in accounting
  • Minimum 2 years QuickBooks experience required
  • G/L Accounting, Accounts Payable (A/P) and Accounts Receivable (A/R) experience
  • Proficient in Microsoft Office
  • Attention to detail
  • Ability to identify and reconcile issues before they become critical
  • Ability to learn rapidly and adapt to frequently changing situations
